Home Meet Set Up Info

  1. Arrive by 4pm.
  2. Get chairs from Clubhouse closet to reserve parking spots. Place chairs in each parking spot and tape reservation signs to chairs.
  3. Stack all chaise lounge chairs in the corner by the fence.
  4. Tape signs to doors for the restrooms & clubhouse no admittance signs.
  5. Place 2 chairs on either side of the shallow end stairs for place judges.
  6. Place 2 chairs at the deep end of the pool closest to the pavilion between the stairs and the corner of the pool for place judges.
  7. Place 2 chairs at the deep end of the pool closest to the concession stand between the stairs and the corner of the pool for place judges.
  8. Place 2 chairs & a small table at the deep end of the pool closest to the concession stand on the other side of the stairs for the starter and announcer.
  9. Place a chair & small table on the side of the pool closest to the pavilion in the middle for the lifeguard.
  10. Place 2 full air horns on the table.
  11. Make sure there is a round table between the 2 picnic tables under the pavilion.
  12. Move the stand for the event board to the corner of the deep end closest to the pavilion.
  13. Get the event board from the roll up closet and place in the hole on the stand.
  14. Get the number cards from the bins in the closet and place on the event board.
  15. Place a chair on the event board stand.
  16. Place the box with ribbons on the ribbon writing table under the pavilion.
  17. Get team computer and place on the ribbon writing table under the pavilion.
  18. Place lane mats on the shallow end of each lane.
  19. Coaches will put in the lane ropes and backstroke flags.
  20. Place 4 metal poles across the shallow end of the pool.
  21. Take the rope and tie it from one chair in the shallow end, around each pole, and around the chairs on the opposite side of the pool at the shallow end.
  22. Take the yellow caution tape and wrap starting at the place judge chairs at the shallow end, around the backstroke flag pole, thru the lifeguard chair, around the the backstroke pole, thru the place judge chairs and tie off on the event board stand.
  23. Take the yellow caution tape and wrap starting at the place judge chairs at the shallow end, around the backstroke flagpoles, thru the announcer & starter chair, and tie off at the end of the 2nd place judges chair.
  24. Set up sound equipment and give microphone to the announcer (handled by HOA or trained person).
  25. Move the chairs to make a pathway for easy access to the bathroom.
  26. Make sure the lifeguard has updated the log book.
  27. Move the flat grill to the concession stand (if needed, please ask concessions).
  28. Place the Cyclones sign on the fence near the mushroom.
  29. Tie extra trash bags to each trash can and set up extra trash cans around the pool deck.
  30. Place stopwatches on timer’s clipboards along with a sharpened pencil.
  31. Empty the trashcans at the start of the second half of the meet (around event 46) and place trash in the shed in the parking lot.
  32. Once you are finished with set up, please check in with coordinators to ensure there is nothing else needed.
  33. At the halfway point of each half of the meet (around event 23 and 66), please hand out waters to all volunteers, coaches, coordinators, the referee & the lifeguard. You can get them from concessions.

Home Meet Clean Up

  1. Pick up all trash around the pool, in the grass near the concessions stand, tennis courts & playground, and parking lot.
  2. Get chairs used to reserve parking spots from the parking lot. Remove signs and put in the file folder container.
  3. Take down Restroom & No Admittance Signs and place on Clubhouse counter.
  4. Move all chairs so that there are 4 per table. Stack all extra chairs and place against the fence.
  5. Place all lounge chairs around the pool in the upright position.
  6. Place all small tables next to the lounge chairs.
  7. Close all pool umbrellas.
  8. Move the umbrella back to the middle of the shallow end side of the pool that the lifeguard was using.
  9. Place the air horns in the plastic bins.
  10. Move the stand for the event board back against the fence.
  11. Put the event board into the roll up closet.
  12. Get the number cards from the event board and put in the plastic bins.
  13. Place lane mats near the Swim Team closet to dry out.
  14. Coaches will put up the lane ropes and backstroke flags.
  15. Put the 4 metal poles across the shallow end of the pool next to the fence by the grills.
  16. Take the rope and yellow caution tape down. Put the rope in the plastic bins & throw away the caution tape.
  17. Help put up the sound equipment.
  18. Move the flat grill from the concession stand back near the clubhouse (if applicable).
  19. Assist the concessions with cleaning up leftover food, trash and coolers.
  20. Take down the Cyclones sign on the fence near the mushroom & place in the plastic bins.
  21. Put all clipboards, stop watches, lights, pencils, pens, etc. in the plastic bins.
  22. Place all ribbon containers inside the plastic bins.
  23. Place all plastic bins in the Swim Team Closet.
  24. Place any items found into the Lost and Found.
  25. Empty all trash cans and take to the shed by the parking lot.
  26. Remove all No Parking signs along Chestnut Hill Circle and by the Clubhouse. They are stored under the Swim Team Closet.
