Information for our First Meet on May 29

Our first meet is coming up on Thursday, May 29 against Country Walk at the Lee's Crossing Pool. We know this email is long, but please read to the end to ensure you are prepared.

  1. All swimmers should be in the pool for warm ups at 5:00pm. The meet will start at 6pm.
  2. Every person needs to go into the Swimtopia app and mark if your swimmer is available to swim in the meet by Tuesday, May 27. You will go to the following link https://leescrossing.swimtopia.com/swim_meets and click on "Meet Entry". Then, you should see your swimmer's names and you click "Edit". There will be a dropdown menu and you will select "attending" or "not attending".
  3. You will also use the link https://leescrossing.swimtopia.com/swim_meets to sign up to volunteer at the meet. You will click on "Job Sign Up". Then select your parent name and choose a volunteer position. To read more information about each volunteer position, you can hover over the small "i" next to the volunteer position. Our volunteer coordinators, Sarah Delaney & Jane Whitfield, are happy to answer any questions you might have. Remember everyone is asked to volunteer at 4 out of the 5 meets.
  4. We recommend all families please read over our document on our website called "What to Expect at a Swim Meet". This should answer many questions you might have and help you be prepared for the meet.
  5. Our coaches will be doing time trials on the swimmers. As a reminder, your swimmer needs to be able to get across the pool in a minute and a half in order to swim in the meets (this is a league guideline). We will let the parents know by early next week if your swimmer isn't able to do that quite yet. It is our coach's goal to get every child that wants to get across in a minute and a half able to do that as soon as possible.
  6. As mentioned at sign ups, we have a very large team and we can only swim 120 swimmers in a meet. If you aren't available to swim, please make sure you update it. Also, many have told us that your swimmer isn't planning to do meets or isn't doing the first one. Please make sure you go in and double check that they are marked as unavailable as we may have missed it by accident :) Also as mentioned in the registration packet, we make every effort to put all swimmers in the meet that are ready and available, but we can only swim 120 swimmers and we have many more than that on our team. It has always worked out in the past, but in the event we have more swimmers available than we have spots, we may have to ask some swimmers to sit out. These decisions will be made by the coaches based on the needs for the meet with the age groups and gender, readiness and attendance. Thank you for understanding.   7. On Thursday morning, events will be listed in the Swimtopia app for each swimmer. The swimmers will also be practicing that morning what they are swimming in the meets. Please check the app throughout the day as we may have to make last minute changes due to sickness and emergencies.   8. If there is bad weather (rain so hard that you can't see the bottom of the pool, lightning or thunder), the meet will be delayed. Just like practice it is a 30 minute delay for thunder and lightning. We have to clear the pool deck in the event of lightning and thunder. In this case, families will need to wait in their cars. We will update via Remind when it is clear to come back. We ask that you do not leave the meet. Since most swimmers are in relays, it impacts everyone in your relay if you leave. We do our best to get the meet in so that we don't have to reschedule.
  9. Volunteers need to check in with our Volunteer Coordinators, Jane Whitfield and Sarah Delaney upon arrival on the day of the meet. They will give you a name tag and go over any instructions you might need. There will be a volunteer meeting with the referee for some of the first and second half volunteers typically 15 minutes before the meet begins.
  10. Please bring chairs to the meet! The Lee's Crossing chaise lounges will be put away for the meet. This allows more room for others to walk through and to have more people on the deck.
  11. PLEASE READ ABOUT PARKING-Most of our parking lot will be reserved for the coordinators, coaches, officials, concessions, etc. If you can walk to the meet or if you can carpool that is the ideal situation. If you have a friend that lives close to the pool that will let you park in their driveway, that would be great too. You need to ensure that you do not park on either side of the entrance or the exit of the parking lot. You may park on Chestnut Hill Circle with the flow of traffic going towards the pool. Do not park on the opposite side of the road (there will be no parking signs). Please ensure that you leave room for stop signs as well (we did have the police show up last year and they will issue tickets). A firetruck/ambulance has to be able to get through. This applies to all roads in the neighborhood. Only use one side of the road.
  12. If you haven't downloaded the Swimtopia app, you will need to do that in order to see the events your swimmer is participating in. It is free. There is a paid version, but it is not required to see what your swimmer is swimming. ***A couple other reminders***
    • We have a Stroke Clinic tomorrow from 9-10am for ages 7 & up. The cost is $5 (cash preferred). The coaches would love to see your swimmer on Saturday. You don't have to sign up to attend, but it helps the coaches with planning. Here is the link: https://forms.gle/rGCGXWH36ZMEbrPbA
    • The deadline to pre-order sweatshirts is today. They are $27 each. Please complete the Google form below to order. If you want more than 4 sweatshirts, you can fill out the form again with the additional order.     • The deadline to pre-order extra t-shirts is today. They are $15 each. Please complete the Google form below to order. If you want more than 4 shirts, you can fill out the form again with the additional order.
